This is a list of material sought by the Archives. The material can be either given to your Area or Division Governor, or brought to a conference.

Material Created by Clubs
- All newspaper clippings mentioning the club - preferably with notes of which publication, date and page number
- Club History as a Word Document (See this page for suggested outline.) [making history]
- Agendas and Pictures from special events (Charter Parties, C&L awards, District Officer Visits)
- Club Newsletters (electronic files for the most recent please)
Notification of how far back Club Minutes reach. Please note - the minutes belong to the club. This is fortunate because the District Archive wouldn't be able to store minutes from over 300 clubs. However, I may wish to borrow them to glean for accounts of key events within the District.
- Interviews or memoirs from Toastmasters, Gavel Club members or Toastmistresses -either past or current. Recording an interview on a digital recorder is fine, although a transcript is preferred. (see this page for questions). [suggested questions….]
Material Originating From Areas, Divisions, District, Region and International
- District, Region or Zone Directories
- Newsletters (Club, Area, Division, and District - Zone and Region if any ever existed at those levels)
- Hall of Fame Booklets (District, Region, Zone or International)
- Forms for District level promotions and contests (e.g. going beyond the club)
- Campaign Fliers and Pamphlets for District Officers and International Directors
Memorabilia (fliers, agendas, registration forms, tickets, postcards, pins, menus etc) from special events:

Club and District Officer Training
Special Training Events
District, Regional and Zonal Conferences
International Conventions
- Pictures from Special Events (format can be originals, negatives, or electronic files - labeled with event, people shown and date if possible)
- Minutes from Area, Division and District Councils - not from clubs!
- Pins from Conventions or Campaigns
'Official' Material from Toastmasters International
- Speech Manuals
- Training Publications (e.g. Speech Engineering, Your Body Speaks, The Amateur Chairman, Rebuilding a Toastmasters Club)
- Speech Contest Manuals and Booklets
- Club By-Laws
- District By-Laws
- The Toastmaster Magazine
- Catalogs
- International Directories (now on-line, there were electronic versions on floppy discs for a year or two, stopped being published on paper sometime in the Mid-1990s)
- International Directives
- Invoices and order forms
- Distinguished Club Program Reports
- Any and all Educational Reports for any level
- Club Proxies
- Letters of congratulations for Educational Awards
- Letters to Club Presidents, Area Governors etc
- Club and District Officer Training Manuals (e.g. When you are the Treasurer)
- Distinguished Club, Area, Division and District Manuals
- Fliers (99, 101) These have been around for decades, and change every two years or so
- Editions of TIPS (now just an e-publication - it is for Club officers)
- Editions of The District Bulletin (now just an e-publication - for District Officers)
- Advertising Fliers (usually received by Club Presidents, in orders from TMs and Educational Certificates)
- Scans of old Educational Certificates, Club Charters, Certificates of Merit etc.
- Name tags
- Educational Pins
